Core field amendment for trade name
The shop board changed but GST still shows the old trade name. Core field amendment needs officer approval. Wait with documents. Legal name is separate.
The painter finished at dusk. The new trade name is on the tin board in bright letters. The visiting cards went to the printer this morning. On gst.gov.in the old name still sits on the registration certificate like a stubborn stamp. You opened the amendment screen, changed the trade name, submitted, and now the status is pending. A buyer already asked why the invoice trade name and the GST search name do not match. That question will keep coming until the officer approves.
Trade name is the name you trade under — the board, the bill header. Legal name is the name on PAN: the proprietor, the partnership, the company. They are allowed to differ. They are not allowed to be confused on the form. A core field amendment for trade name is not a spelling tweak that saves in ten seconds. It waits in a queue.
Legal name versus trade name
Search your GSTIN on gst.gov.in → Search Taxpayer > Search by GSTIN/UIN. You will see legal name and trade name. Legal name changes are heavier (PAN, constitution, court papers). Trade name changes are still often core because they print on the certificate and on public search.
Do not put a legal name change request into the trade name box. Do not put "GSTIN" or a slogan into trade name. Do not copy another registered brand if you have no right to it. This article is not a trademark class. For GST, keep the trade name you actually use on the board and invoices.
If invoices already went out with the new name while the certificate shows the old one, keep both prints in a file. After approval, align the software header with the certificate. Do not print a third fantasy name "for marketing" that exists nowhere on GST.
Where to file the amendment
Login → Services > Registration > Amendment of Registration Core Fields. Find Trade Name. Edit, upload proofs, preview, submit with EVC or DSC as asked. You get an ARN. Track: Services > User Services > My Applications and Services > Registration > Track Application Status.
If Core Fields is grey, a core amendment may already be pending. You cannot stack two core files. Open My Applications. If you opened Non-Core Fields by habit (bank, additional place), trade name will not be there. Wrong menu is a common "the portal is broken" night.
Authorised signatory must be able to sign. If OTP goes to a person who left town, fix signatory first through the correct amendment, then do trade name. Order of operations matters.
Documents the officer actually looks at
A photo of the new board with the shop front. Letterhead. A cancelled cheque if the trade name appears on the bank account (nice if true, not always required). Partnership deed or board resolution if the constitution has a process for trade name. Proprietors often only have the board photo and a signed request on letterhead.
If the new trade name is wildly far from the old one, expect a closer look. That is normal. Explain in the remarks: "Board changed from X to Y from this date; same proprietor, same place." Do not write a novel. Do not claim a new legal entity if PAN is the same sole prop.
Blurry night photos of the board fail. Take a daylight photo. If the painter spelled the name different from the form, fix one of them before you submit. The officer will match letters.
If a query comes, reply on the same ARN. Upload the exact page they asked. Check the query due date on the portal; if unsure, check this month's official date and the on-screen clock.
Waiting without breaking invoices
Until approved, public search shows the old trade name. Some buyers' vendor portals fetch that search. Warn them. Do not shout at the buyer that "GST is pending" without sending the amendment ARN screenshot.
Keep filing GSTR-1 and GSTR-3B. A core amendment does not freeze returns. Check this month's official date for return due dates. Invoice series can stay. If you change the header in software too early, GSTR-1 versus invoice PDF can look odd to a picky customer. Many shops wait for approval then change the header from next invoice number. Pick one rule and stick to it.
Do not file a second core amendment for a comma while the first is pending. Do not cancel GSTIN because the trade name is pending. That is burning the house to repaint the door.
If rejected, read the reason. Resubmit with clearer proof. A reject is not a fine by itself. Ignoring a reject and printing the new name forever is how notices start.
What this amendment will not do
It will not change PAN. It will not move principal place. It will not add a godown. It will not change bank. Those are other menus. Mixing five changes into one unclear upload is why officers query.
It will not legalise invoices you issued under a different firm's name. If you were using someone else's GSTIN, stop. Get your own registration right. Do not evade.
Processing time is not a promise. Ward load differs. A consultant who sells "same-day trade name" is selling hope. You can visit the jurisdictional office with the ARN and board photos if delay is long, but the click still happens on the portal.
When approved, download the fresh registration certificate. Replace the copy in the shop file and in the godown file. Update e-invoice / e-way profile if your software stores trade name separately. Generate a test invoice (your own books) and see the header. Then continue real supplies.
FAQ
I changed the board. Can I invoice with the new trade name tonight?
The certificate and Search Taxpayer still show the old name until the core amendment is approved. Many buyers match that search. Safer to wait or to mention both names in a footnote until approval — without creating a fake GSTIN name.
Is trade name the same as legal name on PAN?
No. Legal name follows PAN / constitution. Trade name is the business style. Do not use trade-name amendment to hide a PAN change.
Core amendment is pending. Can I add a bank account in the meantime?
Often non-core can run on a different track, but if the portal blocks you, finish or wait on the pending file. Check My Applications. Do not open duplicate core files.
How long will the officer take?
